Who I am

I’m Louisa Hollingsworth, and I run my business from the UK at louisahollingsworth.com. This policy explains what personal information I collect, why, how I look after it, and the rights you have over it.

I am the “controller” of your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • Contact: hello@louisahollingsworth.com
  • ICO registration reference: ZB234898

What I collect

I only collect the information I need. This may include:

  • Contact details you give me, such as your name, email address, phone number and business name, when you sign up to my newsletter, fill in a form, book a call or email me.
  • Client and purchase details, such as billing address and what you’ve bought. Card and bank details are handled by my payment providers, not stored by me.
  • Email engagement data, such as whether you opened an email or clicked a link.
  • Website usage data, such as your IP address, browser type and the pages you visit, collected through cookies (see below).
  • Anything else you choose to share, for example in messages, surveys or comments.

Please don’t send me sensitive information, such as health details, unless I’ve specifically asked for it and explained why.

How I use it and why I’m allowed to

UK GDPR requires me to have a lawful basis for each use of your data. These are mine:

What I use your data for

Lawful basis

Sending my newsletter and marketing emails

Consent

Delivering services or products you’ve bought, and managing payments

Contract

Replying to your enquiries

Legitimate interests (responding to people who contact me)

Keeping financial and tax records

Legal obligation

Improving my website and emails using analytics

Consent (for non-essential cookies)

I don’t sell your data, and I don’t use it to make automated decisions about you.

My newsletter

When you sign up, I’ll ask you to confirm your subscription by clicking a link in a confirmation email (double opt-in). This keeps a clear record of your consent.

  • I’ll send you the content described on the sign-up form, which may include tips, news and occasional offers about my services.
  • My newsletter is sent using Sender, which stores your name, email address and email engagement data on my behalf.
  • You can unsubscribe at any time using the link at the bottom of every email, or by emailing me. Once you unsubscribe, I’ll stop sending you marketing emails straight away.
  • I keep a record of your email address on a suppression list after you unsubscribe, only so I don’t email you again by mistake.

Who I share it with

I use trusted service providers (“processors”) to run my business. They can only use your data to provide their service to me, not for their own purposes.

I may also share your data with my accountant, or where the law requires it. I’ll never share your data with anyone for their own marketing.

Data stored outside the UK

Some of my providers store data in the European Economic Area (EEA) or the United States. When your data leaves the UK, I make sure it’s protected by one of these safeguards:

  • the country has been approved by the UK Government as having adequate data protection (this covers the EEA);
  • the provider is certified under the UK Extension to the EU-US Data Privacy Framework; or
  • the provider uses UK-approved contract terms (the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses).

Cookies

Cookies are small files stored on your device when you visit my website.

  • Essential cookies make the site work, for example remembering your cookie choices. These don’t need your consent.
  • Analytics cookies (such as Google Analytics) help me see how people use the site. I only set these if you agree.
  • Advertising cookies (such as the Meta pixel) help me show relevant ads on social media. I only set these if you agree.

You can accept or reject non-essential cookies using the cookie banner on my site, and change your mind at any time. You can also block cookies in your browser settings.

My emails may contain a small tracking pixel and tracked links, so I can see whether an email was opened or a link clicked. This helps me send content people find useful.

How long I keep it

I keep your data only as long as I need it:

Type of data

How long I keep it

Newsletter subscribers

Until you unsubscribe. I may also remove people who haven’t opened an email in 18 months.

Client and financial records

6 years after our work ends, as required by HMRC

Enquiries that don’t lead to work

Up to 12 months

Website analytics

Up to 14 months (Google Analytics default)

Keeping it secure

I use reputable providers with strong security, keep my accounts protected with strong passwords and two-factor authentication, and limit access to your data to what’s needed. If a data breach happens that’s likely to put you at risk, I’ll tell you and the ICO as the law requires.

Your rights

Under UK GDPR you have the right to:

  • access a copy of the data I hold about you;
  • correct anything that’s wrong or incomplete;
  • delete your data, where I don’t need to keep it for legal reasons;
  • restrict or object to how I use your data, including objecting to marketing at any time;
  • move your data to another provider in a common format;
  • withdraw consent at any time, where I rely on consent.

To use any of these rights, email me at hello@louisahollingsworth.com. It’s free, and I’ll respond within one month. I may ask you to confirm your identity first.

If you’re unhappy with how I’ve handled your data, please talk to me first. You also have the right to complain to the Information Commissioner’s Office (ICO) on 0303 123 1113.

Children

My website and services are for adults. I don’t knowingly collect data from anyone under 16.

Changes to this policy

I’ll update this policy when my business or the law changes. The date at the top shows when it was last updated. If I make a significant change, I’ll let subscribers and clients know.
